Switching accountants takes you one meeting

The most common reason companies never switch accountants is fear of the mess. This is how a handover works with us.

    We talk about your volume, your line of business and what bothers you about your current accounting. Within three working days you get a written quote.

  2. One meeting or online

    Contract and access

    We sign the service agreement, set up authorisations at the e-Tax Board and the Business Register, and connect e-invoicing and the automatic bank feed.

  3. We do this

    Taking over the books

    We collect the database, balances and open periods from your previous accountant ourselves. If something is out of order, we tell you plainly what the state is and what a clean-up costs.

  4. End of month one

    First report

    We go through the first monthly report together: revenue, costs, taxes, balances. From then on it is routine: documents to us, returns on time, a monthly summary to you.

The fee depends on three things: number of documents per month, number of employees on payroll, and whether the company is VAT-registered. Typical levels are below; we quote precisely after the intro call.

About

Thirty-five years at the same desk

Simar was founded on 14 August 1991, six days before Estonia regained its independence. We have kept books in kroons and in euros, on paper and in the cloud, through every change in Estonian tax law.

The firm has been family-run from the start. Your accountant does not change every year, documents do not disappear with staff turnover, and questions are answered by someone who knows your company. The firm is led by a certified accountant, level 6, the chief accountant level in the Estonian qualifications register.

We have been a member of the Estonian Chamber of Commerce and Industry since 2002. Our clients are mainly small and medium-sized companies in Tallinn and Harju county: retail, services, construction, apartment associations and freelancers.

From time to time we look for an accountant. If you hold an Estonian accountant's qualification (level 5 or 6) or have at least three years of experience and want to work in a small, stable team in Nõmme, write to us with a short CV. Estonian is required for the role.

Software and tools

A digital workflow, paper only if you want it

We keep the books in the cloud-based Standard Books software. On request you get read access to your own data and can see revenue, costs and balances yourself without asking us.

We also work in your own software if the company already has one and the workflow runs well.

  • E-invoices: we receive and send e-invoices straight from the software, purchase invoices arrive without retyping.
  • Bank: the bank statement flows into the software automatically, transactions are matched to invoices.
  • Sending documents: email, a phone photo of a receipt, or on paper at the office.
  • e-Tax Board and e-Business Register: returns and reports are filed directly under authorisation.
  • Payroll: employees receive payslips by email, employee register entries are made by us.
  • Security: all access is personal and two-factor, data is stored in the European Union.

Frequently asked questions

What clients ask before they start

Do I have to do anything myself?

Very little. Your job is to send us sales and purchase invoices and expense documents, and to confirm payroll once a month. Returns, reports, communication with the Tax Board and deadline tracking are ours. If we need something from you, we ask a specific question.

How do I send documents?

The easiest way is an e-invoice, which reaches us automatically. Email, a phone photo of a receipt or paper at our office on Rännaku puiestee also work. We recommend sending documents as they come, not all at once at month end.

What software do you use and can I see my numbers?

We keep the books in the cloud-based Standard Books software. On request you get read access and can see revenue, costs, balances and unpaid invoices at any time. We also send a short summary every month.

How quickly can I start?

We start within a week of signing the contract. Switching at the start of a month or quarter is simplest, but we can take over mid-month if needed.

How does switching accountants work?

You give notice to your previous accountant, we do the rest: we request the database, balances, contracts and open returns and check that everything reconciles. For you it is one meeting and one signature.

What if I am behind on my returns?

This is a common situation and it can be fixed. We review which periods are missing, restore the books, file the returns and, if needed, apply to the Tax Board for a payment schedule. The sooner you start, the smaller the interest, which is 0.06% per day.

Can you do only the annual report?

Yes. If you have kept the books yourself during the year, we prepare and file the annual report as a separate order. We check the balances first and tell you if anything needs correcting.

Do you also advise on tax?

Yes. Short questions, such as whether a cost is deductible or how dividends are taxed, are included in the monthly fee. Larger work, such as restructuring or a tax audit, is at an hourly rate agreed in advance.

Do you serve e-residents and work in English?

Yes. Meetings can be held online, documents move digitally and we communicate in English. Many of our e-resident clients have never visited the office.

How long is the contract and how do I end it?

The contract is open-ended with no minimum term. Termination takes one month's notice and we hand over all data properly.

Annual report for 2025: what to remember before 30 June

The annual report is due on 30 June. Late filing can bring a fine from the Business Register and, after a longer delay, deletion proceedings.

Before preparing the report we reconcile balances with banks, customers and suppliers, count inventory and fixed assets, and review transactions with board members and shareholders. Micro and small companies file a shorter report, but a management report is required from small companies too.

If reports are missing for several years, all missing years must be filed. We help in those cases as well.

The standard VAT rate is 24 percent

From 1 July 2025 the standard VAT rate is 24%. Prices in long-term contracts and standing orders need to be reviewed.

The change affects every VAT-registered company. Pay particular attention to prepayment invoices issued before the change for goods or services delivered after it, and to standing contracts where the price was agreed including VAT.

Companies using cash-based VAT accounting have different transition rules. We reviewed every client's contracts before the change took effect.

Income tax 22% and the lower dividend rate is gone

From 2025 the income tax rate is 22%. The 14% reduced rate for regularly paid dividends was abolished and distributed profit is taxed at 22/78.

This changes dividend planning: where regular payments used to be worthwhile for the reduced rate, all dividends now carry the same tax burden. The calculation of the personal basic exemption also changed, so employees should review their basic exemption application.

We go through with each client when and how much profit it makes sense to distribute.
